These are representative accounts of how different households approached the work of sorting and preparing their retirement documents.

Case 01 — Records Intake

A Folder Passed Between Siblings

The Situation

After a father's death, a folder of pension and employment documents was handed to the eldest daughter. Nobody in the family knew what was in it, some papers were water-damaged, and two of the adult children lived outside Kuching.

What We Did

We conducted a sorting appointment at the client's home. Damaged papers were photographed before handling. All documents were grouped by employer and date, labelled and placed in dividers. A contents list was produced and given to the client in the same session.

The Outcome

The family received a clear record of what existed, with condition photographs of the fragile material. The daughter was then able to share the contents list with her siblings before meeting with the relevant pension office. The appointment took three hours.

Case 02 — Guided Preparation

First-Time Retirement Submission

The Situation

A retired civil servant had most of his documents but was uncertain how to complete the submission forms accurately, which enclosures were needed and in what order to arrange them. He had visited the pension office twice without completing the submission.

What We Did

Four sessions over five weeks. Session one identified the missing documents. Session two covered form completion using published guidance. Session three assembled the enclosures in the requested order. Session four set up a tracking sheet to record dates and reference numbers after submission.

The Outcome

The client submitted a complete application with a full copy set and a tracking sheet. He reported back three months later to say the submission had been accepted without request for additional documents — his first complete submission after two incomplete attempts.

Case 03 — Family Continuity Programme

Making Records Findable Across a Family

The Situation

Both parents in a family of four adult children held records in separate locations — some at home, some with a sibling, some in a safe deposit box. Nobody outside the father had full information about what existed or where it was stored.

What We Did

Two facilitated family meetings over eight weeks. A master index was built listing every known document, its location, and who held access. Storage recommendations suited to Kuching's climate were prepared. Both parents reviewed and corrected the index at the second meeting.

The Outcome

The family received the master index in print and digital formats, along with an update protocol document. The twelve-month review appointment is scheduled for August 2026. Three of the four children now have access to the digital folder.
