How We Work

Our Overall Methodology

Every service we offer is clerical in nature. We handle documents — we sort, label, photograph, describe, assist with form completion and build reference indexes. We do not assess eligibility, interpret rules or provide any form of financial or legal advice. That boundary is not a limitation; it is the reason we can be direct and consistent about what we deliver.

Our method begins with a plain statement of what is in front of us. Before any sorting or preparation work begins, we produce a condition record of fragile or damaged material. From there, each stage follows a fixed sequence so that nothing is missed and the client always has a written summary of what was done.

We do not move from one stage to the next without the client understanding what has been completed and what is next. Guided sessions include written notes after each meeting. The Continuity Programme includes facilitated family meetings so the work is shared across the household rather than held by one person.

All three services have fixed prices and defined deliverables. We discuss scope with the client before any work begins and do not add to it without agreement.

Service 01

Records Intake and Sorting Appointment

A first appointment for households that have papers but no order. Documents are laid out, grouped by employer and period, dated where dates are missing from the face of the paper, and placed into labelled sections. Anything illegible or damaged is photographed at high resolution before handling.

The appointment is clerical: it sorts and describes material and points to where official information is published, without assessing anyone's position. Suited to families beginning a retirement paperwork task, and to relatives who have been handed a folder with little explanation.

Guided Preparation Sessions

A set of four guided sessions that walk a client through the practical steps of assembling a retirement records submission using published forms and official guidance. Each session covers one stage: gathering, completing, assembling and tracking.

We help fill fields accurately, arrange enclosures in the requested order, prepare copy sets and set up a tracking sheet. We do not interpret rules or advise on eligibility, and we say directly when a question belongs with the relevant office or a qualified professional.

Included in this service:

  • Four ninety-minute sessions over five to six weeks
  • A working folder prepared at session one
  • Guided form completion and a complete copy set
  • A submission tracking sheet
  • Written notes after each session

Family Records Continuity Programme
Service 03

Family Records Continuity Programme

A programme for families who want retirement and personal records to remain findable across generations. We build a master index covering documents, where originals are stored, who holds keys or access, and which institutions hold what.

The index is produced in print and in a structured digital folder, with a short written protocol on how to update it. Content is descriptive and organisational only, with no assessment of entitlements or holdings.

Included in this service:

  • Two facilitated family meetings
  • A written update protocol document
  • A review appointment after twelve months

Client Information Privacy

Personal information seen during sessions is used only for the work in front of us. We comply with Malaysia's Personal Data Protection Act 2010 (PDPA).

Documents Returned Same Day

Original documents are returned to the client at the end of every appointment or session. We do not retain originals under any circumstances.

Written Scope Before Every Session

What each session covers is confirmed in writing before it begins. Additions to scope are discussed before any extra work is done.

Clerical Boundary Stated Explicitly

We do not interpret rules, advise on eligibility or form any opinion on entitlements. When those questions arise, we say so and point to the right resource.

Condition Photography Standard

Fragile, damaged or illegible documents are photographed at high resolution before we begin any handling. This is standard practice for every engagement.

One Working Day Response

All enquiries — by phone, email or web form — receive a response within one working day during our office hours.
